OKU Hotels built its name on effortless, design-led stays across the Mediterranean. But as the group opened property after property, the finance function behind the scenes was straining to keep up.

Growth was outpacing the back office

Every new opening added another layer of manual work. Finance staff exported data from Opera Cloud PMS and MICROS Simphony, reformatted it by hand, and reconciled it against the back office — property by property, system by system. None of those systems talked to finance automatically.

On top of that, the group had to report simultaneously across local GAAP, the hospitality-standard USALI, and internal management packs — not just GL accounts — while budgeting stayed fragmented and spreadsheet-heavy. Scaling into new markets meant doing all of it across more entities, currencies and tax regimes at once.

One connected finance stack

Hotel 360° connected OKU's Opera Cloud PMS and MICROS Simphony directly into NetSuite OneWorld. Daily production from every folio now posts into the general ledger as structured accounting entries — invoicing, payments, credits and refunds — through a transaction-code model covering up to 900 records, with USALI V12 reporting embedded natively in the ERP.

The manual export-and-reformat layer gave way to continuous, automated data flows across every entity and currency — and a single, real-time view of the whole portfolio's finances.

Month-end closes are shifting from a manual effort to enter transactions and present reports into more real-time information available to our finance teams. They now invest their time in analysis rather than managing an increased scope in their day-to-day work.

From data entry to analysis

Month-end changed character. Instead of manually entering transactions and assembling reports, OKU's finance teams now work from real-time information — and spend their time on analysis rather than managing an ever-growing day-to-day scope. As CIO Alejandro Vidales puts it, the biggest gains have come from visibility, efficiency, and speed.

The group now has end-to-end financial visibility across all hotels, currencies and countries, in one consolidated view — with standardized USALI reporting embedded directly in the ERP.

A foundation that scales with every opening

With a standardized finance platform in place, each new OKU property comes online on the same architecture — multi-country, multi-currency, with intercompany and USALI segmentation across every subsidiary. Expansion becomes a rollout, not a rebuild. “We wanted a solution that can grow with us as we open new hotels in different markets,” says Vidales.
